Privacy Policy
Prospect Transcript, LLC ("we") runs Prospect Transcript, a website where student athletes, arts students and their families keep a recruiting or portfolio record that coaches, teachers and directors can verify and college staff can review. This policy explains what we collect, who can see it, and the choices you have.
Who can use Prospect Transcript
Prospect Transcript is for high school students, their parents or guardians, high school and club coaches, arts teachers and directors, and college coaching and faculty staff. It is not for children under 13. Athletes under 18 must have a parent or guardian's permission, and we encourage parents to link to their athlete's record with the family code so they can see and manage it.
What we collect
- Account details: email address, name, account type, school or program, state, and job title for coach and college accounts.
- Athlete and student records: the details a family enters, including name, school, graduation year, sports, arts disciplines and positions, game statistics, measurables, portfolio entries (works, audition repertoire, credits, training and honors), academic information, a short bio, links to film or recordings, target schools, and contact information.
- Images you upload: an optional headshot and portfolio images such as artwork or design work. They are stored privately and shown only to people allowed to see the record.
- Verifications and references: when a coach, teacher or director verifies or disputes an entry or writes a reference, we store what they signed, their name, title, school and the date.
- Profile views: when a college coach opens an athlete's profile, we record the college, the staff member's title and the date so the family can see who looked.
- Feedback you send during the beta.
- Technical data our hosting providers keep in their logs, such as IP address, browser type and the time of each request.
Who can see what
- Every athlete record starts private. Only the athlete, linked parents or guardians, and confirmed coaches at the athlete's own high school or club can see it.
- When the family turns on "Show in college search," the record's athletic, academic and film information becomes visible to signed-in coach and college accounts.
- Contact details (email addresses and phone numbers) are shown only to the family and to coach and college accounts our team has confirmed.
- Coach and college accounts are confirmed by our team before they can verify entries or see contact details.
- Target schools and notes are visible only to the family.
How we use information
We use information to run the service: to sign you in, show records to the people allowed to see them, build packages, record verifications, send sign-in emails, answer support requests and improve the product. We do not sell personal information, and we do not show advertising.
Service providers
We use a small number of companies to run the service: Supabase (database, image storage and sign-in), Vercel (website hosting), an email delivery provider for sign-in emails, and Google Fonts (typefaces, which receives your IP address when the page loads). They process data only to provide their services to us. Film stays on the site where you posted it (for example Hudl or YouTube); we store only the link.
Your choices
- Families can edit any entry, hide a coach reference, turn college search on or off, and delete an athlete record at any time from the Profile page.
- To delete your whole account, or for a copy of your data, email contact@prospecttranscript.com. We respond within 30 days.
- Parents and guardians of athletes under 18 can make these requests for their child.
Retention and security
We keep information while the account is active. Deleted records are removed from the live database right away and drop out of backups as they expire. Data travels over encrypted connections, and database access rules limit each account to the records it is allowed to see.
Changes
This is a beta policy and will be updated before paid plans launch. We will post changes here and update the date above.
